Share Media via URL

  1. Log into media.pdx.edu.
  2. Click the button with your name on it in the upper right corner, and click My Media.
  3. Find your video in the list, and click on it.
  4. Find the Actions button in the lower right.

  5. Click the + Publish option in the list.
  6. In the publishing settings below the video, make sure that your video is set to Unlisted. 
  7. Click Save.
  8. Click the Share button below the video.

  9. On the Link to Media Page tab, copy the web address.

Download Media from Media Space

By default, media uploaded to Media Space is not available for download. However, the media owner can allow downloads of media items. Once downloads are enabled, anyone who can view the media can also download the media.

  1. Login to media.pdx.edu.
  2. Click your name in the upper right corner.
  3. Click My Media.
  4. Find the media you wish to download from the list and click the pencil icon to the far right of the media.

  5. Click the Downloads tab.
  6. Select the format(s) you wish to enable for download and then click Save.
  7. The download option will now be available beneath the media when viewing the media.

Best Practices for Hosting and Archiving Media

Depending on whether you need a hosting site for your media or a storage site to archive and/or backup your file, you might use Media Space and or Google Drive.

Host with Media Space

We recommend uploading your videos to a media hosting platform. Media Space (media.pdx.edu) is the media hosting platform PSU contracts with. See step-by-step instructions for uploading media to Media Space.

  • A media hosting platform stores your video on a server, which provides a url where the video can be accessed, that you can share with your audience. Learn more about sharing your media.
  • The hosting platform transcodes your full size video into many ‘flavors’ of different resolutions and sizes. When a user accesses your video, the hosting platform will automatically provide them with the best ‘flavor’ for optimal quality, based on the device they are using and their internet connection. For example, a user on a smartphone does not need to see the full resolution for an optimal experience on that device, so the hosting platform will serve them a smaller resolution size, which will load more quickly, ensuring playback is not interrupted.
  • You can control sharing settings. In media space these are called publication settings. Learn more about publication settings.

 Archive & Backup with Google Drive

If you think you will want to use your video in the future in a different way or you would like to create a backup of your file, you should also consider creating a backup of your video file. We recommend uploading your video to your PSU Google Drive, which provides unlimited file storage on the cloud.

  1. Access Google drive at drive.pdx.edu.
  2. Create a folder specifically for your course or project.
    1. For example, if you developed your media during the Winter 2020 term make a folder in Google Drive following this pattern: DEP ### Term Year.  For example: (PSY 311 Winter 2020).
    2. If you have other documents you are backing up in this location, you might decide to make a sub folder called ‘Multimedia.
  3. Upload media files from your computer or device to the Google Drive folder.
    1. The best practice is to use clear naming conventions for your video file name that will help you identify what it is without having to watch it. For example: PSY-311-W2020-Module1-CourseAssignments (DEP-###-TYYYY-OrgUnit-DescriptiveName).

Edit Captions in Media Space

The process to edit machine captions in Media Space is the same, regardless if the captions are machine or human generated. Editing captions will change the transcript automatically.

  1. Click your media from your My Media list.
  2. Click Actions.
  3. Select Edit from the dropdown menu.
  4. Click the Captions tab below the media.
  5. Click the Edit Captions button.

  7. Click Save when done.
  8. Confirm your save.

Note: There is no autosave function, and inactivity may cause the editor to time out. To ensure you don't lose progress, try to save frequently while you are working.

Generate Machine Captions

Machine captions are available through MediaSpace. Machine captions do not meet ADA accessibility requirements, but are a great way to generate captions for your course media that will only be used once, or as a starting point to build ADA-compliant captions when funding for human captions is not available. If you have a student with documented accommodations, please continue working with the DRC to ensure your media and course materials are fully accessible.

Enabling Machine Captions is a 2 step process.

  1. Generate Machine Captions
  2. Enable Machine Captions

Machine caption files are typically generated within 30 minutes of the request. Once the files have been generated, you must manually enable them on your media.

Generate Machine Captions

  1. Login to Media Space at media.pdx.edu
  2. Click the desired media from your My Media list.
  3. Click Actions.
  4. Select Captions Requests from the dropdown menu.

  5. Complete the captions order request. The default selections are:
    • Service: Machine
    • Source Media Language: English (You may change the language selection if needed.)
    • Feature: Captions
  6. Click Submit to request machine captions.

Enable Machine Captions

  1. Click the desired media from your My Media list.
  2. Click Actions.
  3. Select Edit from the dropdown menu.
  4. Click the Captions tab below the media.

  5. Locate the actions menu. (See details below.)
  6. Click the icon on the far right to Show Captions on Player.
  7. Your media will now display machine captions.

Note: You can edit captions directly in Media Space.

Add a Media Collaborator in Media Space

In addition to sharing media via a channel or a link, you can share media and delegate collaboration privileges to your media through Media Space Collaborator roles.

  1. Log in to your My Media at media.pdx.edu
  2. Click the media item to which you would like to add a collaborator.
  3. Click Actions and select Edit.

  5. Click the + Add Collaborator button.

  6. Search for the person you wish to add by name or Odin.
  7. Select the role(s) for the collaborator.
  8. Click Add.

Collaborator Roles and Definitions

  • Co-Editors - can edit the entry's details and metadata, trim media, replace media, edit captions, edit chapters and edit slides. Co-editors cannot delete media or add new co-editors and co-publishers. Co-editors can see the analytics page for the media they co-edit.
  • Co-Publishers - can publish media to their entitled Categories or Channels. Group support may be enabled for the Media Collaboration features. When enabled, you can select groups that may be assigned as co-editors/publishers for an entry.
  • Co-Viewers - are only able to view media and do not have editing permissions nor are allowed to view unlisted entries, unless they are also co-publishers or co-editors of that entry.

Upload Video to Media Space from YouTube

You can download videos that you own from YouTube and upload them to your Media Space account. Downloading videos owned by other people is not allowed by Google.

Download Video from YouTube

  1. Log in to your Google Account.
  2. Browse to https://www.youtube.com/my_videos.
  3. Find the video you want to download in the list.
  4. Click the drop down arrow to the right of the Edit button.
  5. Click Download MP4.

Your video should now be downloaded to your computer as an MP4 video file. For further information, see this Google Support article.

Upload video to My Media

  1. Log in to Media Space.
  2. From the Media Space home page, click Add New > Media Upload.
  3. Check the box to agree to the PSU terms of service and copyright policy.
  4. Click + Choose a file to upload.
  5. Select the downloaded file from your computer.
  6. Once the upload completes, enter a Name for the video.
  7. Enter a brief Description as needed.
  8. Enter Tags as needed.
  9. Choose a Privacy setting.
  10. Click Save.
  11. Click Go To Media, and verify that your test video plays.

Note: Videos that you have created and which are used in courses for more than one term should be captioned. Request media captioning through OAI.

Turn Comments Off or On

  1. Click on your name > My Media in the upper right.
  2. Click the Edit button to the right of the video or media item you want to change.
  3. Click the Options tab.
  4. Check or uncheck the box for Disable comments for this media.

Add Search Tags to Media

Use tags to provide descriptive search information.

  1. Click on your name > My Media in the upper right.
  2. Click the Edit button of the media you want to tag.
  3. Enter text in the Tags field.

NOTE: Use the tag field for single words or short phrases, use the description field for longer text.

Adjust Media Permissions (Make Media Private or Visible)

  1. Click on your name > My Media from the upper right corner.
  2. Check the box next to the video you want to edit.
  3. Click Actions > + Publish in the upper right corner.
  4. Select your desired privacy setting.
    • Private: Private media is viewable in your account only. No other account can see a private video.
    • Unlisted: An unlisted video is viewable by anyone with the direct link. This is the recommended setting for sharing videos with your students.
    • Published: If you have a situation where you need to set very specific access to a video, you can create a channel, and publish a video to that channel. This is not the primary way to share media.
  5. Click Save, and OK to confirm in the pop up window.

NOTE: Your video is no longer published in any channels, and will only be visible to you in My Media.
